Planning a wedding or a big family function means thousands of small decisions, and water is easy to forget until it runs out. We supply events across Jaipur, and the same questions come up every time. Here is how we help people work out numbers.
A simple rule of thumb
For a daytime event in warm weather, plan on two to three small bottles per guest. In peak summer, or if guests will be standing outdoors, plan on the higher number. For a short indoor meeting, one bottle per person is usually enough.
Which size to choose
- 200ml bottles are good for tables, welcome desks and quick sips between courses. Less is wasted when someone only takes a few mouthfuls.
- 500ml bottles work for guests who will be there a few hours, and for stage crews, musicians and the family hosts.
- 18 litre jars suit the catering area, the kitchen and the staff, who drink far more than anyone expects.
A worked example
Say you expect 300 guests at an afternoon reception in October. Plan on about 600 200ml bottles for the tables, 150 bottles of 500ml for the stage and family areas, and four or five 18 litre jars for the kitchen team. If guests arrive in waves, ask for a second delivery during the event instead of ordering a huge buffer.
Tips for a smoother day
- Order at least two days ahead for large quantities, and tell us the delivery address, gate and contact person.
- Keep bottles in the shade, not in a hot vehicle or in direct sun.
- Place water at several points, not just one counter.
- Set up a separate point for staff and vendors.
Late-night and early-morning events
Weddings often run past midnight, and some functions start before sunrise. We deliver round the clock, so a last-minute top-up is possible even at odd hours. Call or WhatsApp us with the numbers and the venue.
